Gardiner cityhall The City of Gardiner is requesting proposals for photocopiers for use at City Hall and the Gardiner Public Library.  Attached are the bid specifications.

Bids need to be returned or an email followed by a hard copy not later than 4/1/2010 at 3 p.m.   The bids need to be in an envelope clearly marked:

City Hall requirements:

1. 50 pages per minute

2. Ability to do two sided

3. Stapling finisher 50 sheet stapler

4. 3 Hole punch capability

5. Large capacity of 8 ½ x 11 ( at least 2500 sheets)

6. Capability for 2 other Legal & Tabloid size paper drawers as well as stacking manual feed.

7. Large capacity auto feed

8. Color Scanning

9. Ability to build complicated or multi-part jobs and run off as sets.

10. Easy touch screen panel.

11. Network printing/Scanning/Fax

12. Fax capability from the copier as well as from the desktop’s.

13. Ability to print stacks of envelopes

14. Ability to track dept usage for printing from desk as well as at machine

Library Requirements

1. Potential for coin operated unit for quarters/ nickels/dimes

2. Book friendly

3. Large capacity autofeed

4. 20+ pages per minute

5. Ability to do two sided

8. 500 capacity of 8 ½ x 11

9. Capability for 2 Legal & Tabloid size paper drawers as well as stacking manual feed.

A.) Please include all fees associated with delivery and installation of copier. Training, installing on our
network as well as our desk tops, setting up scanning on our desk tops,

B.) SERVICE CONTRACT: Please be specific as to what and what is not covered. If toner is not

included please include price and yield of your toner etc.

C.) Please include any cost per copy as well as overage costs for exceeding the amount of copies, and is
overage monthly or annually?

D.) Financing: 5 year ( 60 months) true municipal financing ( non-appropriation clause etc)

PLEASE TAKE NOTE: Winning vendor will have to provide option for current copier

lease or a check to pay off our existing lease contract.

E.) Please also provide at least three local references

F.) Provide average on site response when a service call has been placed.
